The Role:
The Office Administrator will be reporting to the Technical Operations Executive Assistant and be the face of the company. They must ensure they make a good first impression on any visitors or customers. They ensure the front desk is kept in order and manage and filter all communication from outside vendors and customers to internal employees either by phone, email, or verbally.
This will be a part time (20 hours per week) contract position. The schedule will generally be Tuesday thru Thursday, 8am to 2:30pm.
Responsibilities:
- Greeting and welcoming guests, receiving, and delivering all incoming and outgoing mail and packages, answering all calls, and directing as needed, and coordinating office activities as needed.
- Answer general office questions for employees
- Interact with various vendors and delivery services due to signing for packages and supply orders.
- Set up new employees in the badge system
Create badges
Notify vendors of new employee as needed
Create nameplate & set up desks/offices for new employees - Assist with BxP regarding Building/Facilities Maintenance
Submit maintenance tickets as needed with office needs
Submit space requests for office events and route to appropriate admin/dept - Act as point of contact between AlloVir and BxP for any announcements and/or events happening
- Office and kitchen organization
Keep kitchen organized, cleaned, and stocked
Receive orders and confirm correct items were received
Keep supply closet organized, stocked, and cleaned
Printer maintenance – making sure ink & paper are installed and stocked correctly
Keep track of shipments coming in and going out - Manage Waltham Office Community Group in Teams by updating it with office events
- Manage office map and seating chart with adjustments as necessary
- Create office décor to help with a welcoming environment for major holidays
- Keep organized binders of:
All incoming orders for office/kitchen supplies
Local catering options
Any invoices sent to accounts payable
Vendor information - Ad Hoc items as needed related to the office such as:
Knowledge of conference room locations and names
Knowledge of hoteling office and cube space
Qualifications:
- 3+ Years’ experience in front desk service
- High school diploma or general education (GED) required
- Proficient in Microsoft Office
- Strong phone skills
- Excellent communication skills due to interacting with customers, employees, board members and vendors
- Expert interpersonal skills to collaborate and give and receive criticism well
- Excellent organizational skills
- Comfortable multi-tasking and prioritizing tasks without guidance
- Punctual and strong attendance history
